1. Data controller

2. What we collect

• Contact form: name, company, email, phone and the content of your message;
• Clients: identification and billing details of the entity and its representatives, and the documents required by law;
• Mail log: date of receipt, type of delivery and sender identification;
• Technical data: IP address and the date and time of form submission, collected for security reasons and as evidence of consent.

3. Why we use it and on what basis

• To answer your enquiry — pre-contractual steps taken at your request;
• To provide the service you contracted — performance of the contract;
• Invoicing and record keeping — compliance with legal obligations;
• Website security and abuse prevention — legitimate interest.

We do not use your data for marketing without your prior, explicit consent, and we do not carry out automated decision-making or profiling.

4. How long we keep it

Enquiries that do not lead to a contract are kept for 12 months. Client data is kept for the duration of the contract and, afterwards, for the applicable legal periods, in particular 10 years for tax and accounting purposes.

5. Who we share it with

Only those needed to provide the service: our certified accountant, the website hosting and email provider, and postal operators when you request mail forwarding. All are bound by confidentiality. We may also disclose data to public authorities where required by law. We do not transfer data outside the European Economic Area.

6. Your rights

You may at any time request access to your data, its rectification or erasure, the restriction of processing, object to processing or request portability, by writing to geral@myofficeonline.eu. If you believe your data is not being handled properly, you may lodge a complaint with the Portuguese Data Protection Authority at www.cnpd.pt.

7. Security

The website uses an encrypted connection. Access to data is restricted to those who need it to provide the service, and physical mail is kept in a restricted-access location.

8. Prevailing version

This policy is provided in Portuguese and English. In the event of any discrepancy between versions, the Portuguese version prevails.
